1. Introduction
Jobsplore ("Company," "we," "us," or "our") operates the Jobsplore platform ("Service"), a free scheduling tool designed to help youth organizations manage career exploration events. This Privacy Policy describes how we collect, use, store, and protect personal information when you use our Service, and explains your rights with respect to that information.
By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.
2. Information We Collect
2.1 Information You Provide Directly
We collect only the minimum personal information necessary to operate the Service:
- Account holders (Event Planners, Administrators): first name, last name, and email address.
- Event participants (students): first name, last name, email address, and career interest preferences submitted through event registration forms.
We do not collect date of birth, phone numbers, payment information, government identification, or any other sensitive personal data.
2.2 Information Collected Automatically
When you access the Service, we may automatically collect standard technical information such as your IP address, browser type, operating system, and pages visited. This information is used solely for platform security, performance monitoring, and abuse prevention, and is not linked to your personal identity for marketing purposes.
3. How We Use Your Information
We use the personal information we collect for the following purposes:
- To create and manage user accounts;
- To operate the scheduling algorithm and generate event schedules;
- To deliver PDF schedule cards and event-related communications via email;
- To send transactional emails, including registration confirmations, schedule updates, and event reminders;
- To provide platform administrators and event planners with the tools necessary to manage events;
- To monitor platform security, investigate abuse, and maintain the integrity of the Service; and
- To comply with applicable legal obligations.
We do not use personal information for advertising, marketing profiling, or sale to third parties.
4. Data Retention
We retain personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy:
- Student event data (names, email addresses, preferences, and schedules) is retained for 60 days following the conclusion of the associated event and is then automatically and permanently deleted.
- Account holder data (Event Planner and Administrator accounts) is retained for as long as the account remains active. Upon account deletion, personal data is removed within 30 days.
- Audit logs are retained for a minimum of 12 months for security and compliance purposes.
Event Planners may manually delete events and all associated student data at any time from within the Service.
5. Data Sharing and Disclosure
We do not sell, rent, or trade personal information. We may share information only in the following limited circumstances:
- Service providers: We engage third-party service providers (such as email delivery services) solely to operate the Service. These providers are contractually restricted from using personal information for any purpose other than providing services to us.
- Legal obligations: We may disclose information if required to do so by law, court order, or governmental authority, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Jobsplore, our users, or the public.
- Business transfers: In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify affected users via email or a prominent notice on the Service prior to any such transfer.
6. Data Security
We implement appropriate technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction, including:
- HTTPS/TLS encryption for all data transmitted between your browser and our servers;
- Encryption of personal data at rest in our database;
- Role-based access controls limiting access to personal data to authorized personnel only;
- Complete data isolation between organizations (your organization's data is never accessible to other organizations); and
- Audit logging of all data access and modifications.
While we take these measures seriously, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.
7. Multi-Tenant Data Isolation
Each organization using the Service operates within an isolated data environment. Event Planners and their team members can only access data belonging to their own organization. Platform Administrators may access data across organizations solely for support and operational purposes, and all such access is logged and subject to audit.
8. Children's Privacy
The Service is designed for use by youth organizations whose participants may include minors. We collect limited personal information from event participants of all ages (first name, last name, and email address) solely to generate event schedules and deliver those schedules by email.
Jobsplore does not independently verify participant ages or collect parental consent directly. Organizations using the Service are responsible for ensuring that appropriate consents and permissions are obtained from participants and their guardians before submitting any personal information to the Service. Parents or guardians who wish to review or request deletion of a minor's data should contact the Event Planner who organized the event or contact us directly using the information in Section 12.
9. Your Rights and Choices
Subject to applicable law, you may have the following rights with respect to your personal information:
- Access: You may request a copy of the personal information we hold about you.
- Correction: You may request correction of inaccurate or incomplete personal information.
- Deletion: You may request deletion of your personal information. We will fulfill verified deletion requests within seven (7) business days.
- Data export: Event Planners may export their organization's event and registration data at any time from within the Service.

10. Cookies and Tracking Technologies
The Service may use session cookies and similar technologies solely to maintain authenticated sessions and ensure the security and proper functioning of the platform. We do not use cookies for advertising or cross-site tracking. You may configure your browser to refuse cookies, but doing so may impair the functionality of the Service.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by updating the Effective Date above and, where feasible, by sending notice to registered account holders by email. We encourage you to review this Privacy Policy periodically. Your continued use of the Service after any changes take effect constitutes your acceptance of the revised Privacy Policy.
